http://support.microsoft.com/kb/951664/ja

[042686]Microsoft Outlook 2007
http://support.justsystems.com/faq/1032/app/servlet/qadoc?QID=042686

Microsoft Outlook 2007

http://gigazine.net/index.php?/news/comments/20080812_kigoo/

PS : Gmail more fun .. terbukti

Outlook 2007 has a handy feature for sharing calendars via Office Live.
It's especially helpful for small businesses were sharing calendars is essential to efficiency. I believe this may be new for 2007 since I have Outlook 2003 and it's not available, or perhaps you just need a certain level of Office; i.e. "professional".

Here's an example of a clients calendar share with the appointments, obviously, blocked out for privacy reasons.

As you can see this visual they are sharing three different user calenders. Appointments are categorized by user color. Unless you have a exchange server users have to make an account at Office live for the ability to share these calendars. And you can update and publish as much as you need too. This is an easy, and cost effective (free) way to share appointments and information. Office Live does offer other options for a fee though.

Being in the software development for over 10 years, started working in a software service industry

Being in the software development for over 10 years, started working in a software service industry in the first half of my career then moving to a product development, I find myself it is a cultural change or should I say I reinvented myself many times, getting a better process or discipline on delivering Quality Software on time and budget.

I do think every product development has to be Agile, wether you are part of the product management or product development. You would agree, when you don’t know who is your next customer or you don’t know your next customer want. There is so much goes in a product development at least for simplicity we can say product evolves with (a) tracking the market/customer needs and (b) following Technology evolution

Understanding the nature of the business, and understanding the engineers and managers who involve in getting the product out, and the emotions that goes along during the changes happens that are unplanned and You as a product owner helping everyone to cope up to adopt the changes. it is a challenge and it doesn’t happen easily if you don’t have the right team. The Right team is not just a well qualified and skilled people, but it needs more than that, you will also agree you need a team full of self-responsible individuals who respects professional ethics and trust between the team members.

Having tried a simple excel sheet to MS Project and writing several documents, I always wanted to keep things simple and by simple I mean, the process should evolve to meet our needs and not the other way around.

I always wanted to just use one single tool to communicate and coordinate and collaborate with all my team members, including product management, support and development. Common to all of us here is Outlook 2007, so I could not think of better tool to implement SCRUM and make it more effective, I wanted the information to reach to the team members instead they have to go for it to know what is changed or make an update.

Also I instituted the daily 5 minutes Stand up meeting – each will get about 5 minutes to state what they are going to work on today and if they need help from anyone and a weekly meeting to do recap of how it went and the plan for the next week. This really brings everyone a greater visibility of the overall picture and also makes everyone feel they are part of a team.

How it Works

This is a solution, you can think of it like, using as it is, SharePoint 2007 as a back end and Outlook 2007 as a front end for all your cross functional team (sales/marketing/development/support) without writing any custom code.

As I started working SharePoint Server to integrate the reports Reporting Services, I started to explore and discovered the simple project tasks web part, and the “Connect to the Outlook” (you will need outlook 2007), RSS Feed and Alert Me.

The important thing here to note is this integration with Outlook and ability to add RSS Feeds in Outlook and Alert Me feature.

By setting up the Bucket lists as a RSS Feed in your outlook, so any time, when a new item is added in the bucket lists, you will get a notification and for example, the Sales or Marketing or anyone who gets an idea or finds a need for your product, they can simply post a new item to the bucket lists using their Outlook, without having to open the browser or searching for a link where to post. As soon as you (Product Owner) get a notification by setting the “Alert Me”, then you can analyze add minimum/required information.

When you assemble a Sprint/Project Tasks, developers will get an email notification as and when they get assigned to a task. And the developers on the other hand can configure the Sprint/Project Tasks in their Outlook using “Connect to Outlook”, so they don’t have to open the browser again to update the status or get visibility of the overall status

PROJECT Backlog/Bucket Lists

I customized the SharePoint List as a Bucket Lists as a template, so I can capture all the necessary details, as you can see below:

Project Tasks as SPRINT

This Projects Tasks Web Part, I use it as a sprint, will show only the active tasks that are being worked

When working for a small company, I am finding that it is often necessary for me to be the desktop support technician as well as the backup gal, server dudette, and network wirer. I guess this is perfect for me, since I have always been more of a jack of all trades, master of none type of person anyway. I can also usually track down the answer to any question, if given enough time and resources (usually 2 minutes and Google).

That is what it took to find the answer to the question for today. I had a user ask me today how to link contacts in Office 2007. He said he had done it in the older version, but could not find any information on how to do in 2007. I personally have never linked contacts, so I had no idea what he was talking about, but as he seemed quite distressed, I jumped on Google to see what I could find. Thankfully, this article by Jennifer Kershaw was just what I needed to be the hero today.

Here is the quick rundown; Open Outlook 2007, go to Tools --> Options --> Contact Options --> check the box next to "Show Contact Linkin gon all Forms" and wallah! Now each contact has a box at the bottom right allowing you to link contacts to other contacts in your list.

I decided to break free from Google Apps webGUI (a.k.a. Gmail) and start using Outlook to access my Google Apps domain account email.

I have an Outlook Profile that contains one Exchange account (Default) and 2 IMAP accounts. I am trying to change the datafile (pst) location for my two IMAP accounts from the default (C:\Documents and Settings\User\Local Settings\Application Data\Microsoft\Outlook) to another directory.

I've tried Google and I've read thru this page: http://office.microsoft.com/en-us/outlook/HA012308921033.aspx
But there is a part on that page where I get lost...
It says:

In the Tools menu, click Account Settings.

On the E-mail tab, select the new e-mail account, and then click Change Folder.

In the New E-mail Delivery Location dialog box, select the Inbox of the old .pst file.

But for me there is no "Change Folder" or "New E-mail Delivery Location" option???

What am I missing?

Edit 7-17-08:

I have found a possible solution, but I haven't had time to try it out myself, I will post an update when I've confirmed this is working:

By default, Outlook places each Offline Folders (.ost) file and Personal Folders (.pst) file that it creates in the %userprofile%\Local Settings\Application Data\Microsoft\Outlook folder. This setting allows you to change the default behavior and store the files in any folder.

Open your registry and find the appropriate key below.

Outlook 2007 - [HKEY_CURRENT_USER\Software\Microsoft\Office\12.0\Outlook]
Outlook 2003 - [HKEY_CURRENT_USER\Software\Microsoft\Office\11.0\Outlook]
Outlook XP - [HKEY_CURRENT_USER\Software\Microsoft\Office\10.0\Outlook]
Outlook 2000 - [HKEY_CURRENT_USER\Software\Microsoft\Office\9.0\Outlook]

Create a new REG_EXPAND_SZ (Expandable String) value called 'ForcePSTPath' and set it to equal the full path of the required personal folder directory (e.g. "C:\Mailbox").

Restart Outlook for the change to take effect. and if this does not work.. try restarting your cmputer aswell.

And

You can also move the current .pst files to the new location using the following method.

>Open the Outlook.
>Click on File > Data Management File.
>Make a note of the path where the Outlook.pst file is stored or saved.
> Close the Outlook and copy the folder to some other location and then reopen outlook.
> use the same procedure to Add the new pst file from the new location and remove the old PST that is there..

It should work fine.. You can follow any method that you think it is useful..

Again, I have not tested the above, so proceed with caution. I will report back when I've had a chance to confirm the above is a working solution. Thanks for your patience.

One of the great features that CRM 4.0 posseses is the intergration to Outlook. However, setting up this quality integration of CRM 4.0 to Outlook (2007 in my case) isn't really that apparent. For instance, the ability to automatically synch all CRM leads, contacts and accounts in your Outlook address book. To achieve this you have to do a few things.....

Set up your CRM options to do so.

Go into Outlook, pull down menu 'CRM', then 'Options' (this will bring up your personal options in CRM (not Outlook!).

Go into the 'Address Book' tab

Check 'Match all contacts in Microsoft Dynamics CRM' under Contacts.

Check 'Match all items in Microsoft Dynamics CRM' under Contacts.

Now to the best of my knowledge (which is limited I admit), this sets up CRM to look to synch all contacts. In order for Outlook to actually perform the synch, you must go into your Outlook settings (which is provided by a seperate CRM Diagnostics tool) and enable the synch process. Kinda sounds like Microsoft right hand hasn't met it's left hand quite yet......

Set up your Outlooks options to enable the synch.

Go to 'Start Menu', 'All Programs', 'Microsoft CRM 4.0', 'Diagnostics'.

Click the 'Support Mode' (default tab that is brought up should be 'Synchronization troubleshooting')

Check 'Address Book Synchronization'.

Check 'Outlook Synchronization'.

This will now synch up your Outlook address book with your CRM Leads, Contacts & Accounts. Oh, you might want to close out of Outlook for the synch to take place. :-)

For more info on the diagnostic tool and it's functions, see the informative post about it at the Microsoft Dynamics CRM Team Blog

Happy CRM'ing.....

Outlook junk folders are dangerous territory for email marketers. Make one tiny mistake in your HTML

Outlook junk folders are dangerous territory for email marketers. Make one tiny mistake in your HTML, and you can unwittingly cut your broadcast response rates by 25% or more. And yet it doesn't need to be this way...and you don't need a high-end email service provider to solve it for you. Here's how:

Get a copy of Outlook 2003 (don't go to 2007 if you don't have to).

Set your "Junk Folder Rules" to "High". This is the default for anyone installing it for the first time. Assume that's the minimum bar you need to achieve.

Do NOT whitelist your broadcasting "from" address...just let the emails come into your inbox with the highest chance of getting caught as possible.

Send yourself a "test" before every broadcast, and check to make sure it arrives in the inbox.

If it's in the junk folder, here are some likely culprits, edit it, and resend:

spam words/phrases (duh) such as "40% off", "sale", "discount", etc. etc.

focus on the subject line and try to alter it (shorter, alternative wording, punctuation)

look for odd url's and links (we find that URLs are often the culprit):
- don't use url's with numbers in them
- use full domains (http://www.this.com = good, http://this.com = bad)
- try to use only ONE url domain. Lots of different links to different sites can be a problem
- links that do not end in a file extension (e.g. ".htm", ".asp" are better than
http://www.this.com/asdf342 )

emails that have a lot of images, or have a large single image can get caught. The onslaught of image-spam within the last year is to thank for that (image-spam is where the sender hides their message in an image so as to get around spam-filters).

It's not that hard, frankly, yet I just went to my own junk folder in Outlook, and within the last two hours I have emails from Marketing Sherpa, MarketingProfs, Saks, and Williams-Sonoma - all sitting innocently next to Cialis offers, Webcam sites, and who-knows-what from China. Imagine that: two of the top online advisors of email-best-practices have their emails regularly go into Outlook junk folders. Say what?

Outlook's junk folder algorythm is pretty darned good, but it does catch the occasional email I really want to read. Personally, I scan and delete my junk folder inventory 3-4 times/day. Microsoft updates the Outlook junk-filter rules all the time (approx once every 3-4 weeks), and there's no way to legitimately reverse engineer it...which means the marketer just has to be smart...and it only takes 2 minutes to conduct this free self-test. We often focus so much attention on AOL, Yahoo and others that we forget that Outlook represents between 30 and 65% of your email list, on average!

One final reason to take the time to fix this: Outlook's junk-folder system will convert your message to text, and even (at times) disable all the links...which is highly upsetting to any VP of Marketing who prides themselves on quality branding. I encourage you to peruse your own junk folder and see what I mean - it's not pretty. If most consumers are like me, when I see a big brand name in the junk folder I actually start to second-guess the quality of that company as well.

Ever typed an email in Microsoft Outlook and went to put in the recipient and you were delighted to see that after you typed a few letters it had already guessed the right person?

Cool, ever reinstalled an OS or Office and went to do the same thing and Outlook did not finish your thoughts for you? Crap! Were you depending on the auto complete?

First off don't do that!

Working in an IT office I have had a few calls from people asking why Outlook isn't auto completing their To: field and they have lost the contact. They were actually using the auto complete function as a contact list!

Things can happen: re-installs, crashes, etc. So relying on the auto complete is a bad idea but if you would like to back up your auto complete data you are in luck.

The auto complete data is stored in a file with the extension of nk2 and can be found in the following locations:

Windows Vista:

drive:\Users\your_username\AppData\Roaming\Microsoft\Outlook

Windows XP:

drive:\Documents and Settings\your_username\Application Data\Microsoft\Outlook

Your .nk2 file will be named the same as your Outlook profile. By default it will probably be called outlook.nk2

Copy this file and save it into a safe location for use later. I suggest an external drive.

Now if you ever need to transfer this file to another install of Outlook you know where to look. Just copy and paste it into the directories listed above.

Here is another usefull tip when using Outlook 2007 - Have Replies Sent To

When we send an Email, there are times when we would like the reply of that email to go to more than just the sender.

For example: you might send an email asking for information but would like when the person replies that the reply goes back to you and to your marketing team as well.

Another example: if you send an email and would like the reply to go back to your regular work email address and to your Gmail account as well.

This is possible with Outlook 2007.

All you do is create a new email and address it as per normal, type the subject and body of the email.

Then click on Option and click on the Direct Replies To button

A window will pop up and a section called Have Replies Sent To will be visible with your default Email address. All you need to do now is add any other email address you with this reply to go to (or you select them from the Contact List/ Address book) . Remember to separate each address with a Semi-colon.

Click on Close and Send the Email.

the person receiving this email will see it coming from you but as soon as they click on Reply it will automatically put in the TO line the other people's Email address you listed above !

This is a great little way to have information sent to more than one location.

"I didn't get the email" or "Resend that email it must have been deleted by mistake" - we have all heard those excuses that people give as to why they haven't done something :)

Well, in Outlook 2007 there is a little tip on how to resend an email with no mess no fuss -

Simply click on the Sent Items folder, open the email that allegedly the person did not get. Click on the Actions section in the ribbon, click on Other Actions and scroll down to Resend This Message…

The message will open, addresses correctly and allow you to make changes before sending it again...

short,simple and effective tip !

Some basic information of Free/Busy in Exchange 2007…

Autodiscover service helps Outlook 2007 to locate various Web services, like Availability services, Unified Messaging, Offline Address Book and Availability service retrieves the Free/Busy information for Outlook 2007 / OWA 2007.

The Availability service is part of the Exchange 2007 programming interface and available as a public Web service which allows developers to built custom tools as per requirement so in other way it allows to access mailbox contents via HTTP.

New Free/Busy Permission in Outlook 2007

We can see some new calendar rights in Outlook 2007 which allows users to see limited or full Free/Busy details. These permissions are stored in user’s mailbox.

None
Free/Busy time
Free/Busy time, subject, location
Full Detail (This is “Reviewer” permission)

Now let’s see where Free/Busy permission stored….!!!

Open the mailbox of Ex Admin account in MFCMapi on a machine where Outlook 2007 installed and configured with profile.

Go to the Root Container -> Top of Information Store -> Calendar.

In right hand side property list you can see a new security descriptor property PR_FREEBUSY_NT_SECURITY_DESCRIPTOR and Free/Busy permission stored as a value of this property.

Right Click on PR_FREEBUSY_NT_SECURITY_DESCRIPTOR and click on Display property as a Security Descriptor Prop Sheet…

Here,

Simple FreeBusy = Free/Busy time

Detailed FreeBusy = Free/Busy time, subject, location

In Outlook we can see that by default Free/Busy time permission is set for “Default”.

You can see here Everyone (which is Default in outlook) is set to Allow - Simple FreeBusy so everybody in the organization can see the free/busy time of anybody.

Secondly in outlook we can see that by default None permission is set for “Anonymous”.

You can see here ANONYMOUS LOGON (which is Anonymous in outlook) is set to Deny - Simple FreeBusy & Detailed FreeBusy so unauthenticated users can not see free/busy information.

Now lets access it in another way which gives us raw value and it is understandable by MAPI developer.

Right Click on PR_FREEBUSY_NT_SECURITY_DESCRIPTOR and click on Parse Property as Structure.

& pick the Security Descriptor structure to interpret.

You can see the value of this property in Security Descriptor structure.

Here..

frightsFreeBusySimple = Free/Busy time

frightsFreeBusyDetailed = Free/Busy time, subject, location

Thanks to Stephen Griffin who shared this information with us and also explained how to access/change it programmatically.

Note: Incorrect use of MFCMapi may give very bad result and mailbox may be inaccessible so take care while using it.

There is a tendency among Outlook Office users to have many contacts folders in the contacts tree to group contacts into specific categories. There may be good reasons for this but if what you really want is to view your contacts by category (such as sales, accounts, by industry etc) you can create categories and keep one master contacts folder. You can view contacts in a category list. I keep all my antivirus renewals and licence codes for customers in a set category for example and rely a lot on this Outlook feature in my work.

I use colour coding for categories. You can rename existing categories or create new ones. Use the help feature in Outlook to look up the how to's for organizing data with categories. You can send a new contact to an existing category with a click of the mouse, or even automate the process with rules.
